If the chest is placed beside a research or work station, you can access items in that chest while in the station’s menu. If this doesn’t work, the game might be bugged, and you should report it. Alternatively, ask your friend to step away from the chest and try again.
When you put down a chest, you should notice a line connecting it to nearby work stations. When you’re using a work station, chests will automatically open and display the same connecting lines.
To stay organized, I generally sort my materials by type. For instance, I keep fire-related stuff in one chest and poison-related items in another, matching each with the relevant research station. I also store common items in multiple chests. This way, I usually find what I need 9 out of 10 times.
After an expedition, I visit each storage area, open the chests, and use the Quick Sort function to automatically arrange items already in the chest.
If you have trouble remembering what items are required, there’s a Task list available for you to use. It creates a list of the necessary items for a particular task. However, I personally don’t use it very often because I’m not accustomed to relying on it.
